Catholic Confidential Executive Assistant

A local Catholic Center is seeking a highly organized and professional Confidential Executive Assistant to support the Assistant Superintendent of Schools. This role is critical in maintaining smooth office operations, handling confidential information, and assisting with Catholic mission initiatives, academic programs, and school personnel functions. The ideal candidate will bring strong communication skills, attention to detail, and a passion for supporting Catholic education.

Responsibilities
  • Serve as the primary point of contact for the Catholic Schools Office (CSO), ensuring exceptional customer service.

  • Provide high-level, confidential administrative support to the Assistant Superintendent

  • Coordinate key meetings, events, and school personnel documentation

  • Develop, format, and distribute internal and external communications

  • Maintain databases, reports, and continuing education documentation for school staff

  • Manage transcript requests and assist with website content updates

  • Support Catholic mission and identity initiatives, academic services, and accreditation processes (including Middle States logistics)

  • Assist with government programs, reporting requirements, and teacher continuing education tracking

  • Coordinate scheduling, travel arrangements, and day-to-day office workflow

  • Cross-train to support executive-level functions within the department as needed

  • Perform additional duties as assigned

Qualifications and Skills
  • High school diploma required; additional administrative training or experience preferred.

  • 3–5 years of office experience in a school or educational setting.

  • Strong knowledge of Microsoft Office Suite (Word, Excel, Publisher, Access).

  • Excellent organizational, multitasking, and time management abilities.

  • Strong written and verbal communication skills.

  • Professionalism, confidentiality, and the ability to work independently.

  • Experience with database management, billing, and bookkeeping preferred.

  • Ability to support and promote the mission of Catholic education.

  • Willingness to work occasional evenings/weekends and travel as needed.

Benefits/Compensation
  • Full-time

  • First shift (8am-4:30pm)

  • 17+/hr based on experience

  • Temporary Position or Temp to Hire  

  • Weekly pay while employed through Career Concepts
