Administrative Assistant to PBL Director
This full-time Administrative Assistant role supports the PBL (Problem Based Learning) Director by managing day-to-day operations, coordinating academic schedules and materials, preparing exams, maintaining confidential records, and providing direct administrative support to program leadership. This role requires excellent organization, communication, and the ability to work efficiently in a fast-paced academic environment.
Responsibilities

Coordinate PBL schedules, materials, room reservations, and updates in the student portal.

Maintain and update case banks, exam materials, learning issue submissions, and confidential academic records.

Prepare examinations, process grades, and assist with data entry and documentation.

Manage calendars, correspondence, filing systems, and general office communications.

Communicate professionally with students, faculty, staff, and external contacts.

Provide administrative support such as preparing reports/letters, ordering supplies, and coding check requests.

Participate in departmental activities, interviews, and occasional community or institutional events.

Perform other duties as assigned to support smooth daily operations.
Qualifications and Skills

Associate or Bachelor’s Degree required.

2–3 years experience in business, education, or administrative support preferred.

Strong proficiency in Microsoft Office and accurate data entry.

Excellent communication, organization, grammar, and proofreading skills.

Ability to multitask, work independently, maintain confidentiality, and follow detailed instructions.

Comfortable using standard office equipment; ability to type 65 wpm.

Ability to lift up to 25 lbs and work in a professional office environment.
